1. Who we are (data controller)

2. What data we collect
When you use our contact form or consultation request form, we collect:
- Name
- Email address
- Phone number
- Company name (optional)
- Approximate annual turnover (optional)
- Any details you provide in your enquiry message
- Technical data: IP address, browser type, and pages visited, via standard web server logs and cookies (see Section 8)
3. Lawful basis for processing
We process your data on the following lawful bases under UK GDPR Article 6:
- Consent — when you tick the consent box on our enquiry forms.
- Legitimate interests — to respond to your enquiry and provide requested information about our services.
- Contract — where processing is necessary to take steps at your request before entering into an engagement with us.
4. How long we keep your data
General enquiries that do not proceed to an engagement are retained for 24 months from your last contact with us, then deleted. Client engagement, tax, and accounting records are retained for 6 years from the end of the tax year to which they relate, in line with standard UK HMRC record-keeping requirements — this longer period applies once you become a client, not to general website enquiries.
5. Who we share data with
We may share your data with the following categories of processor, each of whom is contractually required to process your data only on our instructions and to apply appropriate security measures:
- Our customer relationship management (CRM) system, used to manage enquiries and client communication
- Our email service provider, used to send and receive correspondence
- Our website hosting provider
- Where applicable, our booking/scheduling provider for consultation calls
We do not sell your personal data to third parties.
6. International transfers (UK ↔ UAE)
Route Business Hub is based in the United Arab Emirates and serves clients in the United Kingdom. This means your personal data is likely to be transferred between the UK and the UAE, and potentially to other countries where our processors operate.
The UAE does not currently hold a UK adequacy decision. Where we transfer personal data from the UK to the UAE or to any other country without UK adequacy status, we do so under the UK International Data Transfer Agreement (IDTA), or the UK Addendum to the EU Standard Contractual Clauses, together with any additional technical and organisational safeguards required under UK GDPR to keep your data protected to a UK standard wherever it is processed.
7. Your rights
Under UK GDPR, you have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request erasure of your data
- Object to or restrict our processing of your data
- Request data portability
- Withdraw consent at any time, where processing is based on consent

8. Cookies
This site uses only strictly necessary cookies required for core functionality (e.g. remembering form state). We do not currently use analytics or marketing cookies. If this changes — for example, if a booking or scheduling widget that sets its own cookies is added to the site — this policy will be updated accordingly before that feature goes live.
